Security incident reporting in California: what belongs in a defensible DAR
The report is the product. A guard tour without documentation is a myth in a courtroom. Here is what a defensible California incident report and daily activity report (DAR) must contain.
The DAR shell (every shift)
Property, date, on-duty and off-duty timestamps, weather, vehicle mileage in/out, officer name + BSIS Guard Card number, and a chronological tour log with GPS timestamps.
The incident record
For any deviation from routine: who, what, where, when, how — plus statements, photos, and the reporting officer's observations separated from opinions. Never edit a submitted incident record; append a supplement.
Statements and identifiers
Full-name spelling, DOB when volunteered, vehicle plate + make/model/color, direction of travel. If a peace officer responds, log the CAD case number and responding agency.
Photos and video evidence
Wide, medium, and close-up frames. Include a timestamped context shot (posted signage, address block). Store on the vendor system with a preserved chain of custody.
Escalation and notifications
Phone call to the property contact before end of shift; email DAR + incident PDF within 12 hours. Any use-of-force or injury: BSIS may require notification under B&P Code §7583.6.
Retention
Keep DARs and incident reports for the statutory retention window (BSIS + insurance carrier requirements — commonly 2–7 years). Never delete on request.
